Do you know what to do in THOMAS before beginning in 2015?

Here are some useful suggestions for your system prep:
  1. Complete posting all of your payments and charges received up through 12/31/2014. Do not post 2015 information until this is completed.
  2. Run all the reports your Accountant wants for year end. Ask your CPA NOW if they have all the documentation they need BEFORE you being posting next year’s charges.
  3. Reconcile all accounts. (This re-adds the transaction ledger. If items are changed/removed in the transaction the patient/insurance balance may be off. Reconciling corrects any of those balances.)
  4. Prepare patient statements.
  5. Check Other Claim Status from the Billing Menu. All open/hold/rebill claims should be reviewed. Verify that all claims that can be billed are changed to the appropriate status and available to be billed.
  6. Work all clearinghouse edit reports and rejections from 2014.
  7. Run Delinquent Claims Report – Work all non-paid claims. Pay attention to those that will reach filing limits early next year.
  8. Prepare and send all electronic claims.
  9. Prepare and send all paper claims.
During the following steps everyone needs to be out of the system and ALL computers need to be completely out of THOMAS. The time it takes to complete these functions varies by system and system size.
  • Do a back up that you can store off-site. (Backing up is extremely important on a daily basis; however, at year-end it is extremely important. If for any reason you need to pull the data that was in your system when you sent data to the accountant you may have that ability. (These reports should be run them before next year's postings!) This will also give you am off-site back up, in case something happens in your office (Yes, bad things really DO happen.)
  • After you do your back-up, run a Pack of your databases. (When you delete information from THOMAS it is not necessarily removed right away. When you "pack" it deletes any information that you have deleted that is still blocking parts of your databases.)
